2. Data We Collect and Purpose

We collect only the data strictly necessary to provide our service:

  • Registration data: Name, email, and salon details to create your account, manage your subscription, and grant access to the platform.
  • Usage and communication data: Information on how you interact with the platform, support notifications, technical alerts, or security notices.
  • Billing data (if applicable): Tax details required to issue invoices and comply with our legal obligations.
  • Technical information (Cookies): We exclusively use technical cookies that are strictly necessary for the service to function (such as keeping your session secure). We do not use analytical cookies or advertising trackers. You can find more details in our Cookie Policy.

3. Replan as a Data Processor (Your Clients' Data)

Replan is B2B software. You are solely responsible for the end-client data you enter into the platform (such as names or phone numbers to schedule appointments).

In this context, you act as the Data Controller for your clients, and Replan acts solely as a Data Processor, limiting itself to storing and processing this data following your instructions and to provide the scheduling service.

4. Third-Party Recipients and WhatsApp (Meta) Integration

We do not sell or rent your data to third parties. Data stored in Replan is managed using cloud hosting and infrastructure providers under strict confidentiality agreements compliant with the GDPR.

Regarding automated messaging: If you choose to enable WhatsApp messages, you will go through an onboarding integration directly with Meta Platforms, Inc., connecting your own WhatsApp Business API account to our platform.

In this scenario, Replan acts purely as the software provider connecting your schedule to the API. As a salon, you are responsible for accepting Meta's policies and terms, and for obtaining explicit consent (opt-in) from your clients to send them WhatsApp communications. Meta's handling of those messages is governed by its own Privacy Policy and its data processing agreements with your business.

5. Data Retention

We retain your personal data for as long as your Replan account remains active. Once you request account deletion, we will block your data and keep it only for the legally required retention periods before permanently deleting it. Your end-clients' data will be deleted or returned upon service cancellation.

6. Your Rights

As a user, you have full control over your data. You can exercise your rights to access, rectify, erase, restrict, object to processing, or request data portability at any time by emailing privacy@replanapp.com.

If you believe your data has not been handled appropriately, you have the right to file a complaint with the Spanish Data Protection Agency (AEPD) or your local data protection authority.

7. Security

We implement industry-standard technical and organizational measures to protect your information and your salon's data against unauthorized access, alteration, or data loss.
